BOOKING CONDITIONS

 

1. The participant will agree to abide by the rules and regulations set by UNIVISITS LTD for the health, safety, welfare and management of tour members. The Participant will agree to indemnify and hold harmless UNIVISITS LTD from any claims arising out of participation in the tour program.

 

2. UNIVISITS LTD is involved in the business of arranging and conducting escorted tours of university campuses. UNIVISITS LTD performs a wide variety of services in connection with these tours. UNIVISITS LTD as the principal shall be responsible for making arrangements for travel services (ground), accommodations, appointments, events, activities, UNIVISITS LTD tour book and materials. UNIVISITS LTD cannot be responsible, however, for such occurrences as an airline’s failure to honor a confirmed reservation or to provide the transportation it has contracted to perform. The participant releases UNIVISITS LTD (its employees, agents, school, school board) from any claims arising from the failure of any airline, ground transportation company, hotel, restaurant, or other supplier of tour services, arrangements, or accommodations, to perform as set forth in any tour literature, except where there has been actual negligence on the part of UNIVISITS LTD (or its employees or agents). In the event of missed connections, mechanical or weather related delays, whether due to the participant’s own lateness or the non-performance of an airline or other provider of tour services, the participant will be responsible for any additional expenses for lodging, meals, and transportation.

 

3. The participant acknowledges that UNIVISITS LTD cannot be responsible to them for events beyond its control, such as (without limitation) strikes, war, delays, weather, acts of God, terrorism, or governmental restrictions; or for the actions or omissions of any persons or entities outside its control, such as (without limitation) airlines, surface transportation companies, hotels, restaurants, and other suppliers of tour services, arrangements, or accommodations. The participant will release UNIVISITS LTD (its employees, agents, school, and school board) from any claims arising from such events, actions, or omissions. Because UNIVISITS LTD has no control over such events and circumstances, it cannot be responsible for any claims which may arise as a result. If the participant wishes to obtain travel insurance, baggage protection insurance, or other insurance coverage, it is their responsibility to do so.

 

4. Each tour group is led and supervised by an experienced consultant and may be assisted by one or more persons experienced in counselling secondary school students regarding university selection and admissions. UNIVISITS LTD reserves the right to make any alterations in the itinerary, hotel accommodations, dates, transportation, food arrangements, sightseeing, tour leadership, and makeup of tour membership as it, in its sole discretion, may deem necessary for the success of the trip. If such events or circumstances arise, the participant agrees to abide by UNIVISITS LTD judgments, and decision. The participant releases UNIVISITS LTD (and its employees and agents) from any claims arising from the cancellation of their visit to any city or university campus. All schedules and fares quoted are based on current costs of operation, and are subject to confirmation or adjustment before the tour departs. Additional expenses, if any, shall be borne by the tours’ member’s parents or guardian: conversely, refunds, if any, will be made to the tour member’s parents or guardian.

 

5. The participant agrees to abide by the final itinerary established by UNIVISITS LTD for the tour program. The participant will not depart from UNIVISITS LTD’s established itinerary at any time, either on their own or with any other tour participants, unless the participant submits a written document signed by parents or legal guardians to UNIVISITS LTD and such document is approved by UNIVISITS LTD prior to departure. If the participant submits a written document and it is approved by UNIVISITS LTD, the participant agrees to honor its terms and conditions and to follow the travel plans which it specifies. The approved document shall also become a part of this agreement, whether or not it is physically attached. If the participant departs from UNIVISITS LTD’s established itinerary at any time during my tour (whether or not the participant has first submitted a written document authorising the departure), the participant agrees to be fully responsible for my own safety and well-being, as well as for my own conduct. The participant will make no claims against UNIVISITS LTD (or its employees or agents) as a result of any events which may occur prior to the actual departure of the tour or during any time that the participant departs from UNIVISITS LTD’s established itinerary for the tour. UNIVISITS LTD cannot be responsible for the participant’s well-being during the time of traveling from their home to the point of departure for the tour, or at any time during the tour when they are absent from UNIVISITS LTD-supervised activities.

 

6. The participant agrees to conduct him/herself in a responsible manner at all times during the university tour program, follow the established itinerary, and to refrain from the use of alcohol or illegal drugs. In addition, the participant will comply with all group rules and standards which are announced verbally or in writing by UNIVISITS LTD. UNIVISITS LTD shall have complete discretion to terminate participation in the university tour program and to send the participant home at their own expense (or at the expense of their parents or legal guardian) if the participant engages in any conduct which violates this Agreement, violates the group rules and standards announced by UNIVISITS LTD, endangers the success of the tour or the welfare of other tour members and /or tour leaders, or is detrimental to the reputation of UNIVISITS LTD. If the participant is sent home for any of these reasons, they will not be entitled to any refund. The manner and means of transporting the member home shall be determined exclusively by UNIVISITS LTD and all expenses incidental to the termination of the tour membership (including the entire costs of the transportation of the tour member back home) shall be borne completely by the tour member and/or the tour member’s parent or guardian.

 

7. The participant agrees to accept responsibility for their own conduct and judgment at all times during the university tour program, regardless of whether the participant is participating in a UNIVISITS LTD-supervised activity. UNIVISITS LTD is not responsible for loss of travel documents, valuables, or for loss of or damage to luggage or belongings. The participant specifically accepts responsibility for any financial obligations that may incur and for any damages or injuries they may cause.

 

8. The participant agrees to complete the Medical Information Form as provided by UNIVISITS LTD and has indicated on this form any medical conditions which might affect participation in the university tour program. Tour members must be covered by medical and baggage insurance by their parents or guardians as UNIVISITS LTD cannot assume any medical costs or baggage losses incurred while on tour. The participant will notify UNIVISITS LTD of any prescription drug use on the Medical Information Form which will be signed by their parent or legal guardian. The participant understands that failure to complete the form prior to the university tour departure will preclude them from participating in the program. The participant acknowledges that the information contained in the Medical Information Form and Student Registration Form is true and accurate to the best of their knowledge and that they will indemnify and hold harmless UNIVISITS LTD from any claims should any of the information contained in the Medical Information Form and Student Registration Form are false. If The participant becomes ill or incapacitated at any time, they authorise UNIVISITS LTD to take whatever action it deems necessary to preserve their health and safety, including (without limitation) obtaining medical treatment for them and/or transporting them home, all at their expense (or at the expense of the parents or legal guardian). The participant agrees to reimburse UNIVISITS LTD for any expenses it incurs for the purpose of preserving their health or safety.

 

9. The participant agrees that UNIVISITS LTD shall have the right to cancel any tour program for insufficient participation or for other reasons which it considers appropriate. In the event a tour is cancelled, UNIVISITS LTD’s sole obligation will be to provide a full refund. Should the tour be cancelled after it has begun, UNIVISITS LTD’s sole obligation shall be to provide a refund of the cancelled portion of the tour program. The participant agrees that they will have no right to a refund for any accommodations, meals, or services which are not used once the tour has begun.

 

10. UNIVISITS LTD’s fees for the university tours include: ground transportation in the UK, hotel lodging, meals (some and/or all), university tours, meetings with admission representatives, materials, and activities. If the participant wishes to cancel their reservation for a UNIVISITS LTD tour, the participant must do so in writing prior to departure. The right to a refund will depend upon the date that written notice of cancellation is received by UNIVISITS LTD. If written notice is received at least thirty-one (31) days prior to departure, then UNIVISITS LTD will refund all money, minus a processing fee of £150.00 plus any direct expenses incurred, e.g. non-refundable tickets, transport deposit, university housing deposits. If written notice is received between fourteen (14) and thirty-one (31) days prior to the departure, UNIVISITS LTD will refund fifty percent (50%) of the total fees charged for the university tour plus any direct expenses incurred, minus a processing fee of £150.00. Should cancellation happen less than 14 days prior to the tour departure date the participant will not be entitled to any refund.

 

11. This agreement shall be effective upon acceptance by UNIVISITS LTD as a participant in one of its university tour programs. This agreement may not be modified except in writing. No oral modifications of this Agreement shall be valid.

 

12. UNIVISITS LTD’s program is designed to provide a stimulating and enjoyable experience for students to compare a variety of universities under the guidance of professionals. Participation in a university tour program may enhance a student’s chances of gaining admission to the university of his/her choice. However, UNIVISITS LTD is not affiliated with any university, and has no involvement in or influence upon any university’s admission decisions. UNIVISITS LTD will hold all personal and educational information concerning participants in the strictest confidence. UNIVISITS LTD will not reveal any information to any university admissions official or other person, except as expressly authorised in advance by the student. UNIVISITS LTD may use photographs, videotapes, and testimonials of students in publicity materials.

 

13. UNIVISITS LTD is not responsible for obtaining passports or visas for its travelers. This is the responsibility of the participant, his/her parents or legal guardian. Failure to do so does not constitute grounds for a refund. If a UNIVISITS LTD participant is unable to obtain necessary travel documents, UNIVISITS LTD’s cancellation policy will apply (See Paragraph 10). Non U.K.-citizens must contact the embassy or consulate of their destination countries as soon as possible for specific entry requirements.
